POSITION SUMMARY
The Coordinator, Governance Administration (CGA) provides administrative support to the Students’ Union’s elected representatives and governance processes. Reporting to the Manager, Student Services, the CGA coordinates Executive schedules, SLC and committee meetings, governance records, and the orientation of newly elected officials.
The position also coordinates several SU programs and services, including the Hardship Fund, Partnership Program, SU Elections, and Quality Money Program.
SALARY
The hiring range for this position is $45,000 to $50,000 annually. The offered salary will be negotiated based on a candidate’s relative experience. As a not-for-profit organization, it is extremely unlikely that we will be able to offer a successful candidate a salary outside of this range.
KEY RESPONSIBILITIES
- Coordinate schedules, meetings, travel, correspondence, and other administrative requirements for the President, Vice-Presidents, and Governance team.
- Coordinate SLC and committee meetings, including agendas, meeting materials, minutes, records, and action items.
- Maintain SLC, committee, and other governance records and documentation.
- Coordinate the orientation and transition of newly elected student representatives.
- Provide administrative guidance and ongoing support to elected officials.
- Assist with SU Elections administration, budgets, and related activities.
- Administer the monthly SLC honoraria process, including attendance verification and coordination with Payroll.
- Coordinate the Partnership Program and Hardship Fund, including applications, communications, receipts, and fund disbursement.
- Provide administrative support for the Quality Money program, including applications, reports, and project-holder inquiries.
- Provide reception and information support to students, staff, University community members, and the public.
- Provide administrative support to the Director, Student Services and General Manager, as required.
- Perform other duties as required.
QUALIFICATIONS
- A university degree or college diploma, with a minimum of two years of relevant administrative and/or program management experience, including experience supporting leadership or executives. An equivalent combination of education and experience would be considered.
- Previous experience working within a post-secondary educational environment is preferred.
- A background working with community or non-profit boards and/or student groups would be an asset.
- Strong organizational and time management skills, with the ability to manage schedules, meetings, records, documentation, and competing priorities.
- Strong written and verbal communication skills, including comfort with public speaking.
- Superior interpersonal skills to interact positively and professionally with students, staff, elected officials, and members of the University and external community.
- Strong judgment and discretion when handling sensitive and confidential organizational and student information.
Some additional hours beyond the normal work week may be required during peak periods of organizational activity.
